Providing Caregiver Access to Student Reports in EdPotential

This quick guide lets you know how to provide caregiver access to EdPotential.

Many schools find it beneficial to set up caregiver access to student data reports, as it helps caregivers stay engaged in their child's learning and keep up to date with their progress.

Setting up caregiver access to EdPotential is a simple 4-step process completed by your IT technician and our EdPotential specialists.

This process is similar to the set up for student access but has the added requirement of an SSO identity provider. Teachers and student accounts are authenticated by the school's SSO system; typically either Google Workspace or Microsoft's Entra ID. Parent accounts, however, cannot be authenticated in this way as they are not a part of the school's Google or Microsoft account. There is therefore a need for an external SSO identity provider.

Step 1: Parent/Caregiver Information

You will need to provide the following:

  1. A list of relationships of authorised parents/caregivers with associated students.

  2. Optional: Test caregiver login details, preferably with the test parent linked to a test student

  3. An account with Studentnet or a similar SSO identity provider

  4. If KAMAR is your SMS

  5. Your KAMAR administrator needs to send caregiver details from KAMAR Directory Services. Instructions on how to do so are in this guide.

  6. Otherwise, please share the following details in a table/file

  7. A unique identifier for each caregiver in your SMS or LMS. This is not to be an email address.

  8. Optional: The caregiver’s email address

  9. The associated Student ID/s

Step 2: Teacher Identification

To ensure that teachers are correctly identified, you will need to add an attribute (mlepRole or Role) with a value of Teacher (or similar) in your current Google or Azure (Entra ID) SSO system, if one isn’t already in place.

In Google Workspace:

  1. Click the SAML attribute mapping section in the EdPotential app settings.

  2. Under Group membership (optional), select the group(s) you would like to have access to EdPotential. This is to be a Teacher group and, if applicable, Senior Leadership as only teaching staff are to have access.

  3. Set the App attribute value to mlepRole.

  4. Click Save.​

In Microsoft Entra ID:

  1. Click on ‘...’ on the Attributes and Claims page.

  2. Click on Transformation to create an additional claims transformation (role).

  3. Set the claim: “http://schemas.microsoft.com/…/claims/role” to Teacher, and optionally, Senior Leadership.​

We will then check that teachers can still log in by using the test account provided during onboarding. If this account is no longer active we will ask the Deputy Principal (DP) to log in.

Step 3: Studentnet Integration

Set up the integration with Studentnet following this guide. A similar process will be followed if another provider is used.

Step 4: Test Caregiver Access

The final step is to check that everything is working correctly. You can either set up a test parent account which is linked to a student or test yourself using an actual parent account.

The account used in testing will need to have the User ID attribute set and will need to be in the list or file of relationships of authorised caregivers with an associated student.

If you choose to create a test account, please share the details with us and we will test access to the associated student account. If you choose to test access yourself, please keep us updated on your progress.
