Attendance Reporting on EdPotential (NZ)
This guide shows you how to view and use the attendance summaries available on EdPotential.

Whole School Attendance Summary
Whole school attendance over time is displayed on the dashboard.
Select Attendance to view a summary of attendance by half days over time and the proportion of students who are present for more than 90% of the term.
Select Stepped Attendance Response to view the proportion of students within each stage of the stepped response (STAR) framework.

Attendance
The data displayed in the Attendance section is based on half-day attendance.
Your school's aggregated attendance is compared to 90%, the lower limit of what the ministry defines as regular attendance.

The second graph shows the proportion of students who are present for more than 90% of each term.

Stepped Attendance Response
The STAR Over Time chart displays the proportion of students within each stage of the stepped response (STAR) framework for each term. The stages are:
- Good - less than 5 days absent in a term
- Worrying - up to 10 days absence in a term
- Concerning - up to 15 days absence in a term
- Very Concerning - 15 days or more absence in a term

Cohort Attendance Summary
To view an attendance summary for a group of students, for example, one year level, go to the Attendance tab in the Reporting section.

As shown in the above image, there are three steps to view a cohort attendance report.
Step 1: Select the students whose attendance you wish to view.
- For example, select one year level or tutor group
- Select Only NCEA students to view the NCEA filters and make a selection from these
Step 2: Select the number of years of attendance data you wish to view. The default is one year but you can view up to three years.
Step 3: Click the button to load your report. This can take a while, depending on the number of students you have chosen.
The cohort attendance report contains three types of data; attendance by half-days, attendance by period and STAR attendance. All are useful in different ways.
Half-Day and STAR Attendance
Half-day attendance data is of value because it aligns with the ministry's calculations of attendance.
STAR attendance data provides a quick view of which stage in the STAR framework students were at in the selected term.
The tables can be filtered by date. Choose the period for which you would like to see aggregated attendance.
Click on a student name or number to view that student's report.
Hover over Longest absence in the first table to view the time period for which this applies.

The Day variance in the second table is a measure of the variation in attendance over days of the week. A higher number in red indicates there might be a correlation between the day of the week and the student's attendance.

The Half-Day Attendance Over Time graph shows attendance by term over the selected years.

Attendance by Timetable Periods
The Attendance by Timetable Periods section matches the attendance summary in the student report.
Viewing attendance by period enables you to see trends across each day's periods.
The pie chart enables you to see the percentage of periods present for the selected number of years for the chosen cohort.

The Timetable overview enables you to quickly see if there are concerning trends for the selected cohort. This data aligns with what is in the student report. There you can quickly see where there may be issues for a student. For example, a student may be more likely to be absent on Friday afternoon. Here, you can see where there are any generalised trends.

The final graph shows timetable attendance for the selected years. Use the tabs above the graph to view this data by day, week, month or term.
In this graph data is stacked, meaning justified and unjustified absences appear above present numbers. This makes it easy to view any increase in the number of unjustified or justified absences.

Student Attendance Filters
To filter for a group of students with attendance in a selected range, go to Student Reporting and select Show more filters.

Use the half day Attendance filter to choose students within a specified percentage present range. For example, select 80% to 90% to list the students who have been present for 80% to 90% of the current year, based on their attendance by half days.
Alternatively, use the STAR Attendance filter to choose students within a specified STAR stage. For example, choose Very Concerning to list the students who have been absent for 15 or more days in the chosen term.

The students with attendance within the selected range or STAR stage will be listed below.
Attendance in NCEA Reporting
To view student attendance alongside NCEA results, go to the NCEA Reporting page.
Select Show more filters and Show column options.

Use the half day Attendance filter to choose students within a specified percentage present range. For example, select 80% to 90% to list the students who have been present for 80% to 90% of the current year, based on their attendance by half days.
Alternatively, use the STAR Attendance filter to choose students within a specified STAR stage. For example, choose Very Concerning to list the students who have been absent for 15 or more days in the chosen term.

To show the attendance percentage for the year to date in the list, select the current year's Attendance % as a column option. You may also select up to two prior years.
