Exporting NAPLAN, PAT (ACER) and HSC Data

Your student internal assessment data will be exported directly from your SMS. Assessment data from external providers needs to be exported and sent to us. This article outlines the process. 

NAPLAN

Please send NAPLAN files for the most recent year. Once these have been imported you may choose to send files from previous years.


To export the required files, log in to your DoE SSO account at https://sso.det.nsw.edu.au/sso/UI/Login) and choose the "NAPLAN (DoE)" app (Scout system).


The files we import from NSW schools are typically .xlsx files and are one of two types:

  1. Student Scaled Score Table files. These have the following column headings:
  • Student Name
  • SRN (or this may be in the Student Name column)
  • 'Test Year'
  • Reading
  • Numeracy
  • Spelling
  • Grammar
  • Writing
  • 'Naplan Student Score Pivot' [Assessment]
  1. SPS files. These have the following column headings:
  • School Name
  • Assessment Year
  • Assessment
  • Student Name (this also contains the SRN)
  • Domain
  • Participation Type
  • Scaled Score
  • Proficiency Level

In order to import the files, the student identifiers in the file, typically the SRN, need to be in EdPotential. If we are importing student details through an API, the SRN will need to be visible in the database through the API.

PAT (ACER)

Please send PAT files for the most recent year. Once these have been imported you may choose to send files from previous years.


To export files:

  1. Log in to OARS using your login details via the OARS website (Provided by ACER)
  2. Navigate to reports
  3. Select the test you wish to export and then click Group Report
  4. Select the test, then the form for the particular year level you wish to export (for Year 3 choose Form 3, for Year 4 choose Form 4 etc.)
  5. Select a relevant date range
  6. Select the year level who sat this test
  7. Leave the tags field unchanged and click Generate Report
  8. Once the data grid is displayed, select the correct year level from the COMPARING STUDENT RESULTS TO  drop down box next to the DOWNLOAD button
  9. Click the Download button and select Table (Excel file)
  10. Ensure all the boxes are ticked on the DOWNLOAD TABLE popup window and click Export Report

    Note: Files will contain the column headers Unique ID and Username and one of these must contain the Student ID or SRN

  11. Click Download File at the next prompt. This will create an Excel spreadsheet minimised in the bottom corner of your screen. Click to open it and save it in a location where you can find it later.

    Note: The Excel file may be in protected view. You will need to unprotect it before it will allow you to save.

Repeat steps 2 to 11 for every other PAT file you wish to create.

When you have new results to share, these must also be in files downloaded from OARS. These have header rows which let our system know what the assessment, year level and norms are. Don’t worry if new results are in a file with results you’ve already sent, our system will deal with the duplicate results.

HSC

Please send the Principal’s result list (as a .csv file) for the past 3 or more years. 

The file will have the following column headings:

  • Student Id
  • Surname
  • First Name
  • Award
  • Accumulated
  • Course ID
  • Course
  • School Assessment
  • Moderated Assessment
  • Exam Mark
  • HSC Mark
  • Band

We will require the matching student identifiers for all years of HSC data, that is, a file matching student ID’s as below.

We will need to match the student identifiers in the HSC result files (NESA number) with their SRN’s.

Please send files (.csv or .xlsx) for 

  • Year 12 students for the past years you have HSC result files for
  • Years 11 and 12 for the current year
Column Name What it represents
Surname The student’s surname 
First Name The student’s first name
NESA number The student’s NESA ID number
StudentID The student’s Student Record Number (SRN)
