Why do I have incomplete NCEA data for specific years?
There are several reasons why you might have incomplete NCEA data for certain years. The first step is to determine if the results are available within EdPotential. This article outlines steps for checking this.
Recent results
Check the school overview
If you're having problems with results for recent years, you should check the school overview. Is the number of results this year similar to the total from last year?
If there is a significant difference, this is most likely due to a problem when importing the data. Contact your administrator, or contact us for further assistance.
Check a class/course report
Look at the charts that are split by assessment, and check if they have the expected number of results. If they are missing altogether, it's possible the assessment is not assigned to the course. You can confirm this by checking a student report in the next step.
Check a student report
A student report should contain all of a student's individual results. Check a particular student that you know attained a specific result, and verify that it's in EdPotential. If not, it may be that there was a corrupt import, or problems with associating that result with that student.
Historic results
Your school may have an incomplete data set from early years of NCEA results. NCEA results returned by NZQA often have some extra data from previous years.
Below is a breakdown of what you can expect in a typical NZQA results file:
All assessment results for that year
These are the unit and achievement standards that were graded during the normal school year.
Late assessment results from the previous year
These are results that were graded after the exam period at the end of the year (typically December 1st). Since they were graded in the previous year, the results will be listed under that year.
Revised grades
If a grade has been revised, it will also be included in the file. This is helpful for us since we can update any existing result that was set from a previous NZQA data import.
Student certifications and qualifications
For each student in the file, it lists all of their certifications and qualifications. For example, when you import a 2021 NZQA file, a Year 13 student will most likely have level 1 and 2 NCEA certificates from 2019 and 2020 listed.
